Position Summary

We are seeking a driven and highly organized Home Care Scheduling Coordinator to take ownership of one of the most important functions in our business—making sure our clients are staffed and our caregivers are working.

This is a full-time, in-office position based in Merrillville, Indiana. We are looking for someone who does more than simply maintain a schedule. The right person takes ownership of results, enjoys solving difficult staffing problems, and keeps working until a solution is found.

You will be responsible for building and maintaining client schedules, filling open shifts, responding quickly to call-offs, developing strong relationships with caregivers, and proactively identifying staffing needs before they become problems. You will work closely with our recruiting, operations, and client-care teams to make sure we have the caregivers needed to serve our existing clients and support continued growth.

Key Responsibilities

Scheduling & Staffing

  • Take ownership of the day-to-day caregiver schedule and overall staffing needs
  • Build client schedules out in advance and ensure authorized/client-requested hours are appropriately staffed
  • Work open shifts aggressively and persistently until available staffing options have been exhausted
  • Respond quickly to caregiver call-offs and last-minute schedule changes
  • Match caregivers with clients based on availability, location, skills, compatibility, and client needs
  • Proactively identify upcoming scheduling gaps before they become urgent problems
  • Maintain accurate caregiver availability and use it effectively when filling shifts
  • Communicate schedule changes promptly and accurately with caregivers, clients, and office staff
  • Work closely with Recruiting to identify specific caregiver and nursing needs, difficult-to-fill shifts, and geographic staffing gaps
  • Maximize staffed client hours and minimize revenue lost because of avoidable scheduling gaps
  • Track open shifts and follow through until they are filled or appropriately escalated

Caregiver Relationships & Retention

  • Build strong working relationships with caregivers and maintain regular communication regarding availability and scheduling
  • Keep connected with caregivers who are not currently scheduled and identify opportunities to place them
  • Help caregivers understand scheduling expectations and reinforce reliability and accountability
  • Identify caregiver concerns or potential retention issues and communicate them to the appropriate team member
  • Develop a strong understanding of individual caregivers so the right caregiver can be matched with the right client

Client Service

  • Communicate professionally with clients and families regarding scheduling updates when needed
  • Help ensure continuity of care and reliable service delivery
  • Respond with urgency when staffing issues could affect a client's care
  • Escalate client concerns appropriately and support the team in maintaining a high level of client satisfaction

Scheduling Systems & Coordination

  • Maintain accurate schedules, caregiver availability, and scheduling documentation
  • Monitor and help resolve scheduling and Mobile Shift Maintenance issues
  • Maintain accurate records of call-offs, shift offers, declined shifts, and other scheduling activity
  • Coordinate closely with Recruiting, Operations, Clinical, and other office team members
  • Identify recurring scheduling problems and look for solutions rather than repeatedly reacting to the same issues

On-Call Responsibility

  • Participate in the office on-call rotation as assigned, including evenings and weekends
  • Respond promptly to after-hours calls, texts, call-offs, and urgent scheduling needs while assigned on call
  • Work to resolve open shifts and staffing issues that arise outside normal business hours
  • Maintain accurate documentation and communicate unresolved issues to the office team
  • On-call assignments are compensated separately through our on-call per-diem program

BrightStar is continuing to develop additional dedicated on-call support; however, periodic on-call responsibility remains an expectation of this position.

What We're Looking For

  • Prior scheduling, staffing, dispatching, workforce coordination, or similar experience strongly preferred
  • Home care, home health, healthcare staffing, senior care, or other high-volume staffing experience preferred
  • A strong sense of ownership, urgency, and personal accountability
  • Someone who enjoys a busy work environment and is energized by solving problems
  • Persistent follow-through—you don't easily give up when a shift is difficult to fill
  • Comfortable making calls and communicating frequently with caregivers to solve staffing needs
  • Motivated by measurable goals, results, and performance-based compensation
  • Strong organizational skills and ability to manage changing priorities throughout the day
  • Excellent communication and relationship-building skills
  • Ability to anticipate problems rather than simply react to them
  • Comfortable being held accountable for scheduling and staffing performance
  • Strong attention to detail and accurate documentation
  • Comfortable learning and using scheduling and workforce-management technology
  • Willing and able to participate in periodic evening and weekend on-call coverage
  • Reliable access to a phone, computer, and internet while assigned on call
  • Valid driver's license and reliable transportation

Compensation & Benefits

  • $23–$28 per hour, based on experience
  • Quarterly L10 performance bonus equal to 3% of annualized base pay each quarter when company revenue and individual performance goals are achieved (up to approximately 12% annually)
